Job Title: Admin- Senior Executive

Your tasks

  • General Administration & Regular check of office equipment and maintenance. Office Management: (Daily office administration & other routines).
  • Lead Admin department ISO audits
  • Must have thorough understanding of SEZ process and compliance
  • Ensure compliance within organization
  • Experience in setting up office (expansion mode)
  • Travel Management: Flight tickets, VISA processes
  • Vendor Management - including onboarding, evaluation, and performance review.
  • Must be familiar with various markets for procurement.
  • Managing the Purchase Order (PO) process.
  • Facility/ Utility Management: (Maintenance of A/Cs, Fridges, Water Coolers, Beverage Dispensers, Filters, etc.)
  • Housekeeping/Pantry/Security Management/Maintaining DCR.
  • Organizing office parties, corporate events, gifting solutions etc.
  • Inventory Management (Tea, Coffee, Stationery, Cleaning, etc.)
  • Admin interface with IT infrastructure team for ID Card/attendance/electronic procurement/security
  • Admin interface with finance on settling bills
  • Admin Support to various requirements as needed
  • Formulate plan and policies with proper reference to the overall business plan, to deliver property & facilities services- i.e. Travel, Transport, Admin Helpdesk, Event management, Communication, facility usage policies etc.

Your profile

  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Must be well aware of ISO 9001, ISO 27001 and able to lead the department audits
  • Excellent time management skills and ability to multi-task and prioritize work
  • Good written and verbal communication skills in English
  • Strong organizational and planning skills in a fast-paced environment, cost optimization
  • A creative mind with an ability to suggest improvements
  • Must be proactive and go to person for any office work
  • Exhibits higher level of ownership and commitment
  • Good to have - Hands on experience with office machines (e.g. printers etc.)

Who You Are, Core Competencies, Knowledge and Experience:

  • Bachelor’s / Masters degree in Hotel management/ Business Administration 
  • Technical know-how of all aspects related to Property & Facilities.
  • Strong experience of developing and managing facilities within a large national or, multi national organisation.
  • Senior stakeholder management in a matrixed work environment at both local and global level.
  • Commitment to superior customer service, and structured approach to work.
  • Drive innovation and automation through the function.
  • Ability to lead and motivate teams in a geographically dispersed, hybrid and dynamic work environment.
  • Financial management – budgeting, cost control, cost optimization, reporting.
